Clearances
Volunteers
Pottsgrove School District Board of School Directors encourages the use of parent and community volunteers to support the educational programs of the School District.
Necessary clearances for visitors and volunteers are available below. Completed clearances should be returned to any of the five district school buildings and then they will be entered into a district-wide shared database. Volunteers only need to complete one set of forms, regardless of the number of children in the District. Clearances must be less than one year old when submitted. Once on file, they are valid for five years.

Required volunteer clearances
Contractors & Other
Clearances are required for
- Non-employees contracted through an agency.
- Contracted staff i.e. MCIU, YMCA, contract nurse, window installers, lighting people, etc.
- Is employed or offered employment by an independent contractor or a subcontractor of an independent contractor, or is an individual independent contractor; and has or will have direct contact with children.

- Act 24 - Arrest/Conviction Form
- TB test (if 10+ hours/week with students) dated within 90 days
*Must be dated within 1 year

- Clearances initially submitted and certified through the district are good for 5 years.
- For Contracted Services Personnel, clearances dated within 5 years and over 1 year old, may be certified with an agency letter.
- Department/Person(s) with oversight of the contractor must notify HR when the contractor no longer works at the District. Badges, if issued, must be returned to HR.

Form notes...
- Requestor information - be sure select the correct role. This is the capacity in which you will be working/volunteering at PGSD. If you are employed by a third-party agency or contractor, be sure to list the company name below the Role.
- Confirmation of email is mandatory.
- Have you lived in PA for 10 consecutive years? - this will help determine the need for clearances to be reissued.
- Are any clearances older than 1 year? - this will help to to determine the need for clearances to be reissued.
- Title - fill in if different from the Role. (Optional)
- Building/location - the location to which you will be assigned at PGSD.
- Start date/end date - the dates you will be onsite at PGSD.
- Hours expected - total hours per week you will be onsite at PGSD. This can be an estimate.
- Days expected - the days do you plan to be onsite at PGSD. Select all that apply.
- 10-hours or more - indicates whether or not you plan to be with or in proximity of PGSD students during the dates and times listed. This will determine the need for a TB test.
- Mental health provider - List any and all PGSD students to whom you will be assigned. Be sure to indicate your role as a mental health provider.
- Clearance attachments - be sure to include clear and ledgible PDF copies of required clearances.
- The date the clearance was acquired must match the date listed on the documents.
- TB tests typically require 3-days to complete. Give yourself time to acquire the test results.
- Agency letters must be written on the company letterhead and should include that the employee is in good standing with the company.
- For mental health providers - guidelines and release forms must be included. Refer to the PGSD Office of Pupil Services for more details.
